Anti-Spam and Email Policy
We send cold email, and we are straightforward about it. Web Privacy Solutions contacts organisations in a business capacity only, to offer data protection and GDPR training. We are not claiming you asked to hear from us. You did not, and we would rather say so than pretend otherwise. This page explains exactly who we contact, where we found your details, and how to make it stop.
1. Who We Are
Web Privacy Solutions Ltd is registered in England and Wales, company number 08362646. Registered office: 3 Eyam Grove, Great Moor, Stockport, SK2 7LZ. Registered with the Information Commissioner's Office (ICO) as a data controller, registration number ZC260360. We are the controller of the business contact details described on this page. Contact: info@wprivacysolutions.com.
2. Who We Contact, and Who We Don't
- We email organisations, such as limited companies, LLPs and public bodies, at their business email addresses.
- We do not email consumers or personal email addresses.
- We do not email sole traders or ordinary partnerships without their consent, as the Privacy and Electronic Communications Regulations (PECR) require.
- We do not buy, rent or use consumer lists, and we do not share or sell your details to anyone else.
3. Where We Found Your Details
We use business contact details that are already published online, for example on your organisation's own website, in public business directories and on professional networking profiles. We may also use a business data provider that compiles this kind of publicly available business information. We only use details that relate to your role at work.
4. What We Hold
Only what we need to contact you about our services: your name, job title, organisation, work email address and, where published, your organisation's website and location. We also keep a record of the emails we have sent you and any reply.
5. Our Lawful Basis
Under UK GDPR our lawful basis is legitimate interests (Article 6(1)(f)): offering relevant data protection training to organisations that process personal data. We have carried out a legitimate interests assessment and keep it on file. Our sending follows the PECR rules for marketing to corporate subscribers.
6. How We Send
- Every email clearly names the real person sending it and the organisation they work for. We never disguise who we are.
- Every email tells you why you are receiving it and how to opt out.
- We send individually addressed, plain-text emails in low volumes.
- We send no more than three emails to any one person in a sequence, and we stop as soon as you reply.
- Our emails contain no tracking pixels and no misleading subject lines.
- All of our sending domains are authenticated with SPF, DKIM and DMARC.
7. How to Opt Out
Reply "unsubscribe" to any of our emails, or email info@wprivacysolutions.com. You do not need to give a reason and it costs you nothing. We act on opt-outs promptly, and in any case within two working days. We then add your address to a permanent suppression list, which we check before every campaign, so you will not hear from us again. We keep only your email address on that list, purely so we can honour your request.
8. How Long We Keep Your Details
If you do not engage with us, we delete your details within 12 months of our last email to you. If you opt out, we keep only your email address on our suppression list, for as long as we send email, so we never contact you again by mistake.
9. Who Else Handles Your Details
We use trusted service providers to send and manage our email, including our email hosting and email sending platforms. They act only on our instructions. Where any of them process data outside the UK, we rely on appropriate safeguards recognised under UK data protection law.
10. Your Rights
You can ask us to:
- tell you what information we hold about you and where we got it
- correct it
- delete it
- restrict how we use it
- stop using it for marketing (an absolute right: we will always comply)
Email info@wprivacysolutions.com and we will respond within one month.
11. Concerns and Complaints
If you have a concern about how we contacted you, or want to report an email you believe breaks this policy, email info@wprivacysolutions.com with the details and we will look into it. If you are not satisfied with our response, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
